Install & configure
Turn an event registration into a calendar entry. This guide sets up one fixed event per Gravity Forms form.
Before you begin
You need WordPress 6.2+, PHP 7.4+ and an active, licensed copy of Gravity Forms 2.7+. Gravity Forms is sold separately.
1. Install the plugin
- Install and activate your licensed copy of Gravity Forms.
- In WordPress, open Plugins → Add New → Upload Plugin.
- Choose the SaveTheDate ZIP, install it and activate the plugin.
2. Set up your event
Open your form and go to Settings → SaveTheDate. Enable “This form is an event”.
Enter future start and end dates, local times and the event timezone, then save. Add your event title, location, plain-text description and event URL as needed.
All-day events & timezones
For an all-day event, enter the last day the event includes. Timed calendar output uses UTC and applies daylight saving rules for the timezone you select.
3. Add links to notifications
Calendar buttons appear in Text confirmations automatically, with AJAX and regular submissions. For notification emails, add this merge tag to the message:
{save_the_date}HTML notifications use a simple table of links; plain-text notifications use labeled URLs. The Free edition does not add attachments.
Use a public event page
Add the shortcode below to a page and replace 12 with your form ID. Redirect confirmations can point to this page.
[savethedate form="12"]Keep event details public
Configured event details and .ics downloads are public without a submission or login. Do not add private details. Calendar-provider links transfer event details when a visitor clicks them.
4. Choose your button style
Open Forms → Settings → SaveTheDate to choose Solid or Outline buttons and an accent color. The horizontal layout wraps on smaller screens.
Check your first submission
Submit your form and test each calendar link. If the buttons are missing, check that the form is active, event settings are enabled, the date range is valid and the event has not ended. Automatic buttons apply only to Text confirmations.
Exclude /wp-json/savethedate/* from long-lived CDN and page caches. Cached pages can show old buttons until their cache expires.
